Choosing Which Parents Receive The Email Invitation

By default, the email invite to book upcoming meetings will be sent to the parent or guardian that is listed as priority #1 on the school’s MIS system. Some family backgrounds can be complex and may require multiple bookings for different parents/guardians. Here’s how you can ensure that another parent or guardian has the opportunity to book a meeting slot:


Step 1

  • From the Equipple ‘Home Screen’, you want to click the tab at the top bar which says ‘Schedule’. 




Step 2

  • You’ll be taken to the ‘Schedule Details’ page. From here, click the drop-down menu and select the Parent/Teacher meeting schedule you are preparing for. Double check your class is in the next tab.




Step 3

  • When having to check or change which parent receives an email invitation, it is likely that this will be before the invitations themselves have been sent out to parents on the ‘go-live’ date. For this reason, you will not see any meeting bookings. If this is the case, it means you’ll need to click on the ‘Not Booked’ tab. 



Step 4

  • You will now see a list of Parents/Guardians along with pupils and the meeting status for your class. Click on the specified parent of the child in which you need to check or change which parent receives an email invitation. For this example, we will choose the parent, Jack Smithe.



Step 5

  • A window will pop-up detailing that child’s specific ‘Meeting Information’. If the parent/guardian’s name and contact details are already there, with an icon stating the date the invite will be sent on, and it all matches, you do not need to do anything. Just click the ‘x’ in the corner. 
  • However, if you need to add an additional parent/guardian invitation so that specific adult can book a separate meeting, then on the bottom left of the pop up, click ‘Show +1 guardians’.  



Step 6

  • The name of that additional parent/guardian will appear. Click the ‘+ Invite to new meeting’ button.



Step 7

  • Now you will see that additional parent/guardian’s contact details with an icon stating the date the invitation will be sent to them. Check there is an email address to be sent to and click the ‘x’ icon. This has now been saved, that additional parent will now also be sent an email invitation.


  • If all you needed to do was add an additional parent/guardian for a separate meeting, then you have finished.
  • However, if you need to delete a parent/guardian who is on the list for being sent an invitation, please follow step 8:



Step 8

  • To delete a parent/guardian who is on the list for being sent an invitation, begin by opening up the ‘Meeting information’ tab. Click the ‘three dot’ icon. Then select ‘Delete Meeting’.



Step 9

  • You will now be asked to ‘Confirm Meeting Deletion’. If you are certain that you want to delete this parent/guardian from the meeting schedule and not receive an invitation, click ‘Delete meeting’.



Well done, you have now chosen/changed which Parent receives the email invitation. If you cannot find any parent/guardian using these instructions, please speak to the member of staff who is an Equipple 'Admin'. They will be able to add the specific parent/guardian to a child's profile.
